reports to: executive director

job summary:

provide high level administrative support primarily to the executive director and secondarily to the entire management team, assist with the fundraising process, perform office management duties.

essential functions (in order of importance)

  • answer the nea hin main phone line and manage requests for information/material;

  • provide administrative support to the executive director and management team, including answering the director’s phone, maintaining calendars and contacts, arranging travel, processing expense reimbursements, monitoring email and responding as directed, managing electronic and paper records, and drafting correspondence and other documents.

  • support the fundraising work of the principal development manager by researching prospects, assisting with the preparation and submission of proposals, drafting correspondence, managing the prospect database and tracking donations;

  • plan conferences and meetings under minimum supervision, including board meetings and staff meetings, by inviting attendees, tracking responses, making hotel and catering arrangements, assisting with travel arrangements, assembling meeting materials, taking notes, and following up on action items;

  • track and order office supplies;

  • place service requests with its, building engineers, and office equipment maintenance;

  • ensure that the hin office maintains a professional appearance and that storage areas are well organized.

education and training

high school diploma or ged. bachelors degree desirable but not required.

skills and experience

  • experience as executive assistant or in a comparable position;

  • demonstrated ability to set priorities, manage multiple projects, and take the initiative;

  • demonstrated ability to handle confidential matters with discretion;

  • excellent oral and written communications skills with demonstrated experience producing correspondence and other office documents with minimum supervision;

  • strong research skills;

  • advanced knowledge of word, excel, outlook and powerpoint; plus familiarity with project, adobe acrobat and access (or similar database program);

  • bilingual english/spanish desirable but not required;

working conditions:

rare travel; occasional weekend and evening hours.
